Studio Manager

This is an exciting opportunity for a Studio Manager to join a boutique design and research agency based in the City of London, working across both the Spotless design studio and The Insight Rooms Market Research facility. This is a varied role covering facility management, bookings and day to day business operations within the design and market research industry. We need someone who has a proactive mindset and will thrive on seeking out opportunities to improve the office efficiency and provide support to the team.


Primary responsibilities

Managing the front of house

  • Being the first point of contact for reception and the labs
  • Managing a small team of Assistant Lab Managers (when volume demands)
  • Meet and greet clients and show them to their room
  • Sign in participants and organise incentives
  • Top up tea and coffees during session breaks
  • Place any client catering orders
  • Take fridge stock to put into the cost sheet and restock the fridges
  • Scan NDAs and other documents from the day’s sessions


Sales and marketing

  • Answer booking queries over the phone or email
  • Organising lab tours and showing prospective clients the labs and tech
  • Provide quotations for clients and place provisional bookings in the calendar
  • Send out provisional booking emails to clients with a client info pack
  • Send out booking confirmation email to clients
  • Chase provisional bookings at least two weeks in advance
  • Managing and actively posting on The Insight Rooms Social Media
  • Updating The Insight Rooms Website
  • Attending Market Research networking events to promote The Insight Rooms


Tech support

  • Request tech setup requirement from client ahead of their research
  • Setup and test streaming links the day before and share details with the client
  • Turn on the back up recording every morning
  • Retrieving footage from backup recording and edit session videos in case of missed recordings by the client
  • Upload videos onto the server after the research
  • Send links of recordings to the client and reset the tech for the research the next day if there is a different client coming in
  • Ensure all tech equipment is up to date and order anything that needs replacing
  • Provide consultants with testing equipment if they need it and book the equipment out using the tech equipment checklist
  • Ensure the equipment checklist is kept up to date
  • Liaise with IT if there are any tech issues


Secondary responsibilities

Finance support

  • Supporting the Finance manager with adhoc tasks including:
  • Expense claims
  • Petty cash
  • Uploading invoices to Xero
  • Bank visits when needed


Managing the back office

  • Organising company events and socials
  • Placing adhoc orders for the team
  • Unpack fruit delivery each Monday morning
  • Load and unload dishwasher when full due to labs being busy
  • Keep an eye on stationery stock levels in both the labs and back office and order
  • Put stationery away when delivered
  • Go to the post office when needed
  • Order cleaning supplies as and when requested by cleaner


Your skills and capabilities include

  • Excellent communication (spoken and written) and interpersonal skills
  • Highly motivated and self-managing, with good time management skills
  • Experience working with Microsoft Office, Google Drive and Google Calendar
  • Experience working with tech and ability to troubleshoot (training on specific tech will be provided)
  • Flexible in terms of working hours – some days require earlier start or later finish
  • Ability to multitask and keep working efficiently under pressure
  • Willingness to assist and support other team members
